TERMS & CONDITIONS OF HIRE

Company: Hotwaxx Productions

By placing a booking with Hotwaxx Productions (“the Company”), you (“the Hirer”) agree to the following Terms & Conditions. These terms form a legally binding agreement between the Hirer and Hotwaxx Productions.

HIRER IDENTIFICATION REQUIREMENTS

Before any equipment hire is confirmed, the Hirer may be required to provide the following documentation:

  • Full legal name

  • Valid photographic identification (passport or driving licence)

  • Proof of residential address dated within the last 3 months (for example a utility bill or bank statement)

Hotwaxx Productions reserves the right to decline or cancel a booking if satisfactory identification is not provided when requested.

EQUIPMENT HIRE AGREEMENT

A hire agreement or invoice will be issued prior to the hire period outlining:

  • The items being hired

  • The hire duration

  • The replacement value of each item

The Hirer must inspect all equipment on delivery or collection. Any faults, damage, or missing items must be reported to Hotwaxx Productions within 1 hour of receiving the equipment.

Failure to report issues within this timeframe will be taken as confirmation that the equipment was received in full working condition.

PAYMENT & DEPOSIT

To secure a booking, the Hirer must pay a 50% non-refundable deposit at the time of booking via the online checkout or payment link provided.

The remaining 50% balance must be paid before or at the time of equipment collection or delivery.

Hotwaxx Productions reserves the right to withhold equipment or cancel the hire if the remaining balance has not been paid.

Deposits are non-refundable except in cases where Hotwaxx Productions is unable to provide the booked equipment.

RESPONSIBILITY FOR EQUIPMENT

The Hirer is fully responsible for the equipment from the time it is collected by the Hirer or delivered by Hotwaxx Productions until it is returned to the Company.

The Hirer must ensure that equipment is:

  • Used appropriately and safely

  • Protected from weather, liquids, and damage

  • Not tampered with, modified, or repaired by unauthorized persons

DAMAGE, LOSS, OR THEFT

The Hirer accepts full responsibility for any equipment that is damaged, lost, or stolen during the hire period.

The Hirer agrees to pay the full cost of repair or replacement for any affected equipment as stated in the hire agreement or invoice. Additional costs may include:

  • Collection or transport costs

  • Loss of hire income

  • Administrative or legal costs associated with recovery

PAYMENT TERMS

All invoices must be paid by the due date specified.

If payment is not received:

  • A £20 late payment fee may be applied

  • Continued non-payment may result in debt recovery action

If equipment is not returned, or damage costs remain unpaid, Hotwaxx Productions reserves the right to pursue the full replacement cost plus legal and recovery expenses through legal proceedings.

THIRD-PARTY DEBT RECOVERY

If outstanding payments remain unpaid, the Hirer agrees that their information (including name, address, ID, and contact details) may be shared with:

  • Debt collection agencies

  • Certified enforcement agents (bailiffs)

  • Legal representatives

This will only be done for the purpose of recovering unpaid amounts or retrieving company property.

CANCELLATION POLICY

If a booking is cancelled:

  • Cancellations made more than 7 days before the hire date may be refunded minus any applicable administration fee

  • Cancellations made within 7 days of the hire date are non-refundable

Refunds will not be issued for unused equipment, early returns, or missed collections by the Hirer.

EQUIPMENT RETURN

All hired equipment must be returned:

  • On the agreed return date and time

  • In the same condition it was supplied

Late returns may incur additional hire charges.

LIMITATION OF LIABILITY

Hotwaxx Productions will not be held liable for injury, loss, or damage resulting from improper use of hired equipment or event disruption caused by misuse, incorrect setup, or third-party interference.

The Hirer is responsible for ensuring equipment is used safely and appropriately.

GOVERNING LAW

These Terms & Conditions are governed by and interpreted in accordance with the laws of England and Wales.

Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of England and Wales.

ACCEPTANCE OF TERMS

By confirming a booking, making payment, or accepting delivery or collection of equipment, the Hirer confirms that they have read, understood, and agreed to these Terms & Conditions in full.
